Executive Assistant to the Founder
Burgs Digital | Auckland | Full-time

About us

Burgs Digital is a New Zealand-based full-service digital marketing agency. We look after social media, content creation, paid ads, web and email for a mix of local and international brands. We’re a small, tight team that moves quickly, and we care a lot about doing great work for our clients and looking after each other.

The role

We’re looking for an Executive Assistant to work directly alongside our founder, Josh. You’ll be his right hand: keeping his week organised, making sure nothing slips, and taking the operational load off so he can focus on growing the business and looking after our key clients.

This isn’t a diary-only role. You’ll also have a hand in how the agency runs day to day, from client communication and invoicing to keeping the team’s projects on track. If you love being the person who knows what’s happening and makes things easier for everyone, you’ll fit right in.

What you’ll be doing

Supporting CEO

  • Managing the CEO's calendar, inbox and priorities, including scheduling client meetings, team catch-ups and new business calls

  • Preparing agendas, notes and follow-ups so meetings lead to action

  • Keeping track of Josh’s to-do list and following up on open items with clients and the team

  • Drafting emails, proposals and documents.

  • Acting as a first point of contact for anything that doesn’t need to reach him directly

Operations and admin

  • Owning monthly invoicing for all clients and keeping on top of billing for retainers and project work

  • Keeping our CRM, project management tools and internal documents up to date

  • Managing software subscriptions and supplier accounts

  • Helping improve and document our internal processes and templates

  • Onboarding new clients and team members so everyone has what they need from day one

Client and team coordination

  • Keeping client deliverables moving by checking in with account managers, creatives and subcontractors

  • Making sure content shoots, launches and deadlines are booked in and happening on time

  • Supporting client communication and stepping in to help resolve issues when needed

  • Being a friendly, organised presence for the team and a link between them and Josh

About you

  • You have experience as an EA, PA, office manager or operations coordinator, ideally in an agency, marketing or fast-moving small business

  • You’re highly organised and can juggle a lot.

  • You’re a clear, warm communicator in writing and in person, and you’re comfortable dealing with clients

  • You think ahead and spot problems before they become problems

  • You’re confident with tech and pick up new tools quickly (Google Workspace, CRMs, project management platforms)

  • You can be trusted with confidential information

  • You’re happy to roll up your sleeves, as no two days look the same here

What we offer

  • One work-from-home day a week

  • Quarterly team-building days

  • A chance to work closely with a founder and have a real say in how the business runs

  • A supportive, creative team that does work you’ll be proud of
