About the role
You'll be a familiar, reassuring face for patients and whānau, helping them access care and keeping the day running smoothly. Reporting to the Practice Manager, you'll welcome patients, check them in and help with enquiries, answer calls and manage appointment bookings, process invoices and payments accurately, maintain patient details and complete reception administration, work closely with our clinical team passing on messages accurately and escalating concerns promptly, and support the Management team with administration tasks.

About you
- Connect easily with people. You're friendly, respectful and able to support people from a wide range of backgrounds
- Are confident with computers. You navigate different systems comfortably, enter information accurately and learn new software quickly
- Stay calm during challenging conversations. You listen, respond with empathy, maintain professional boundaries and know when to ask for support
- Keep track of the details. You can balance a ringing phone, arriving patients and competing tasks while maintaining accuracy
- Use good judgement. You solve everyday problems, take initiative and recognise when something needs clinical input
- Are a dependable teammate. You communicate clearly, pitch in and bring a flexible, organised approach to your work
- Respect confidentiality. You understand the importance of handling sensitive information with care and discretion
- Experience with Indici is preferred
- Previous medical reception or administration experience would be an advantage, although we also welcome applicants with strong transferable skills in customer service and administration
