Are you the person who always knows where things are, who's coming in today, and what was agreed at the last meeting?

If you love variety, enjoy being part of a busy team and get real satisfaction from keeping things running smoothly, we'd love to meet you.

We're looking for an Office Administrator to be the organised, friendly face of our Patumahoe office. You could be welcoming visitors one minute and preparing Board papers or recording decisions at a Board meeting the next, so no two days are the same.

What you'll be doing

Board and meeting support

  • Using approved AI tools to coordinate meetings, draft agendas and pull together management reports, Board papers and minutes.

  • Attending Board and management meetings, capturing the key points, decisions and actions, and following up so things get done (training provided).

Keeping the office running smoothly

  • Being the friendly first point of contact for visitors: reception, phones, mail and deliveries.

  • Keeping reception, meeting rooms and shared spaces welcoming and well presented.

  • Ordering supplies, updating our office TVs with information and arranging lunches when needed.

  • Managing vehicle bookings and records, and ensuring WOF, registration and servicing are kept up to date.

Backing our people

  • Supporting our General Managers with calendars, meetings and travel bookings, especially during peak periods.

  • Helping the People & Culture team with recruitment days and administration.

  • Organising company functions and events that bring the team together.

  • Contributing to projects, providing cover across the team and identifying better ways of working.

About you

You'll enjoy this role if you:

  • Enjoy keeping lots of different tasks moving at once.

  • Are just as comfortable greeting visitors as you are sitting in on a Board meeting.

  • Take pride in getting the detail right, and follow tasks through to completion.

  • Are curious about new tools, including AI, and enjoy finding smarter ways to work.

  • Can be trusted with confidential information.

  • Bring a positive attitude, good humour and a genuine willingness to help.

What you'll bring

  • At least 2 years' experience in an administration role.

  • Strong Microsoft Word skills and confidence across Microsoft 365, including Outlook and Teams.

  • Clear written English, sharp proofreading and great attention to detail.

  • NCEA Level 3 English and NCEA Level 2 Maths, or equivalent.

  • A full New Zealand driver licence.

  • The legal right to work in New Zealand.

Experience preparing Board packs, agendas or minutes is a real plus, but if you're keen to learn, we're happy to teach. Experience in reception, event coordination or a seasonal, horticultural or production business would also be an advantage, but is not essential. The right attitude matters most.

Why join us?

  • A friendly, supportive team who look out for each other.

  • Real variety and the chance to learn new skills, including practical AI tools.

  • Company medical insurance and our Workplace Wellbeing programme.

  • A growing, innovative group of businesses with plenty going on.

  • A great rural location in Patumahoe, South Auckland.
