This is a hands-on coordination and executive support role. You’ll organise schedules, follow up with clients and advisers, research practical questions, and make sure agreed actions get done. You’ll have room to solve day-to-day problems independently, with business priorities and decisions led by the founder.

MAXIMON AI is launching its New Zealand operations, and we’re looking for a capable, resourceful and highly organised individual to work directly with the founder and help establish the business locally.

This is a unique opportunity to be involved in building a business from the ground up, combining business operations and project coordination with executive support. You’ll be the person who joins the dots, keeps priorities moving and ensures the important details don’t fall through the cracks.

Working closely with the founder, you’ll coordinate people, projects and business requirements, liaise with clients and professional advisers, and turn discussions and decisions into action. Alongside this, you’ll provide high-quality executive support, managing schedules, meetings, communications and follow-ups across New Zealand and international time zones.

We’re looking for someone who takes ownership, thinks ahead and enjoys making things happen. You don’t need to be an AI specialist or have a technical background — what matters is your judgement, initiative, communication skills and ability to keep things moving.

About MAXIMON AI
MAXIMON AI helps organisations move beyond experimenting with AI to making it work in practice. Its services span AI transformation, tailored solutions, training and workflow automation, helping businesses improve productivity and embed AI into the way their teams work.
With an experienced leadership team and an established presence in the United States, MAXIMON AI is now building its New Zealand operation. This is an opportunity to join at an early stage, work closely with the founder and help put the operational foundations in place as the business grows.

Key Responsibilities
  • Business operations and coordination – Work closely with the founder to progress projects, coordinate stakeholders and ensure agreed actions are followed through.
  • Communication and relationship management – Liaise with clients, lawyers, accountants, suppliers and other business partners, keeping requests moving and resolving practical issues.
  • Organisation and follow-through – Track priorities, deadlines and commitments, coordinate outstanding requirements and proactively identify what needs to happen next.
  • Research and process improvement – Investigate options, research opportunities and help establish effective systems, processes and ways of working.
  • Executive support – Manage calendars across international time zones, coordinate meetings and appointments, prepare correspondence and meeting materials, and keep track of follow-up actions.
  • Administration and business support – Assist with travel arrangements, expenses, records, documentation and day-to-day administrative requirements, handling information with discretion and confidentiality.
About You
We’re looking for someone who learns quickly, thinks ahead and enjoys figuring things out. You’ll be comfortable handling the practical details, taking initiative and following through without needing constant direction, while knowing when to check in or ask for input.  You’ll bring:
  • Strong organisational and coordination skills, with the ability to manage multiple priorities and keep track of the details.
  • A proactive, solutions-focused approach and the confidence to take ownership and follow things through.
  • Excellent communication skills and a professional, approachable manner when dealing with a range of people.
  • Sound judgement, knowing when to progress something independently and when to seek input.
  • The ability to learn quickly, adapt to new situations and work comfortably in a relatively autonomous environment.
  • Confidence using business software and digital tools, along with an interest in exploring how AI can improve everyday work.
Experience in business operations, project coordination, professional services, account management, executive assistance or a similar role would be valuable. Previous experience supporting a business owner or senior executive would be an advantage, but is not essential.

You don’t need to be an AI expert or have a technical background. What matters most is your ability to organise, communicate, solve practical problems and get things done.
