Looking for a role that offers flexibility, variety and the opportunity to play a key role in one of Wānaka's most unique tourism businesses?

Wildwire is seeking an organised, proactive and people-focused Bookings & Operations Administrator to join our team and help keep our bookings, administration and day-to-day operations running smoothly.

This is a permanent role where you'll support our guests, guides and Directors by coordinating bookings, managing administration, maintaining operational information and helping ensure every day runs smoothly.

Simply put, this is the role that keeps everything connected. You'll be the glue that holds the team together.

About Wildwire

Wildwire is a locally owned adventure tourism business delivering unforgettable waterfall climbing and canyoning experiences at Twin Falls, Wānaka.

We're passionate about showcasing one of New Zealand's most spectacular locations to local, national and international visitors. We pride ourselves on creating safe, professional and memorable experiences, supported by a close-knit team that genuinely enjoys working together.

About the Role

This role combines customer service, administration and operations coordination in a dynamic tourism environment.

Key responsibilities include:

  • Managing guest enquiries and bookings

  • Providing exceptional customer service

  • Maintaining accurate booking and operational information

  • Coordinating communication between guides, suppliers and Directors

  • Supporting day-to-day operational planning

  • Maintaining business records, systems and documentation

  • Identifying opportunities to improve processes and efficiencies

You'll be the central point of coordination, ensuring information flows smoothly across the business and helping our team deliver exceptional experiences every day.

Hours & Flexibility

This is a permanent position with seasonal and variable hours that reflect the nature of our tourism business.

The role provides minimum guaranteed hours of:

  • 20 hours per week during the quieter winter months (May, July and August)

  • 30 hours per week during the shoulder seasons (September, February, March and April)

  • 40 hours per week during the peak tourism season (October to January)

Additional hours may be available during busier periods as demand increases and can be worked by mutual agreement between Wildwire and the successful candidate.

Wildwire also undertakes an annual winter shutdown, typically during June, allowing the team an opportunity to recharge during the quietest period of the year. The exact timing and duration of this shutdown may vary from year to year depending on operational requirements.

Hours are rostered across a seven-day operational week and may vary depending on guest demand, weather conditions and operational requirements.

We recognise flexibility works both ways and are open to discussing availability, roster preferences and working arrangements. Where possible, we will work with the successful candidate to accommodate individual preferences, provided they align with operational requirements.
