About the role

This is a hands-on, behind-the-scenes role working directly with Tony Soljan, owner of Soljans Estate Winery. You'll keep Tony's diary, inbox and paperwork in order, take admin and follow-up off his plate, and handle the personal and family errands that free him up to focus on the business.

It suits someone organised, discreet and practical: a person who sees what needs doing and gets it done, keeps track of the details, and is comfortable working closely with a family-run business where work and family often overlap.

Key responsibilities

  • Manage Tony's calendar, book and confirm meetings and appointments, flag clashes early, and make sure he has what he needs before each commitment

  • Triage Tony's email, draft replies for his review, chase outstanding responses, and prepare letters and documents

  • Liaise with suppliers, contractors, trade contacts and service providers on Tony's behalf. Track paperwork, quotes and invoices and pass them to the right people

  • Keep digital and paper files organised and easy to find, so documents, contracts and correspondence are on hand when needed

  • Prepare agendas and notes, capture actions, and follow up so agreed tasks get done

  • Handle personal bookings, appointments, collections, drop-offs and household admin as needed

  • Maintain a running task and follow-up list for Tony, track deadlines and renewals, and act as a reliable link between Tony and the wider team

About you

  • Previous experience in an administration, PA, office support or similar role

  • Strong organisational skills and the ability to juggle competing priorities without letting details slip

  • Clear, professional written and spoken English. You'll often be writing and speaking on Tony's behalf

  • Sound judgement and a high level of confidentiality with business, financial and family matters

  • Confident with email, digital calendars and standard office software (Microsoft 365 or Google Workspace), and quick to pick up or implement new systems

  • Comfortable working independently, anticipating what's needed and solving small problems without needing to be asked

  • Full New Zealand driver's licence and access to a reliable vehicle for local errands

  • Able to commit to a minimum of three days per week, at least six hours per day, between 7am and 5pm

  • Legally entitled to work in New Zealand
