Work alongside our Stores & Logistics Assistant and wider Commercial and Procurement team in a stunning resort environment!

Proudly Awarded Oceania's Leading Hotel 2025 at the World Travel Awards.

Our work ethos is supportive, collaborative and people focused. We take great pride in creating an environment where our team can thrive and are recognised as one of New Zealand’s best places to work.

Overview

Set amongst 650 acres of beautiful landscapes, championship golf courses and luxury accommodation, Millbrook Resort is an internationally acclaimed luxury lifestyle destination and one of New Zealand's leading resort employers. We have an exciting opportunity for a motivated and well-organised Stores & Purchasing Coordinator to join our Commercial team.

This is a fantastic opportunity for someone who enjoys the best of both worlds: the organisation and attention to detail of purchasing and inventory management, alongside the practical, hands-on nature of Stores and logistics. We are looking for someone who enjoys variety, takes ownership and is just as comfortable working with purchasing systems as they are getting involved in the daily operation.

The Role

Working within our wider Commercial and Procurement team and reporting to the Commercial Manager, you'll take responsibility for the day-to-day coordination of our central Stores operation. This is a genuine mix of office-based and practical responsibilities. You will manage purchasing, supplier orders, stock replenishment and inventory accuracy, while also being actively involved in receiving goods, handling stock and supporting deliveries throughout the resort.

Working alongside our Stores & Logistics Assistant, you will coordinate daily priorities and ensure our departments receive the products and supplies they need, accurately and on time.

Your responsibilities will include:

  • Coordinating purchasing, supplier orders and replenishment of Stores-managed stock, particularly beverages.
  • Managing stock levels, PARs, stock rotation and inventory accuracy to maintain availability and minimise waste.
  • Maintaining purchasing and inventory records through our PurchasePlus system.
  • Preparing and coordinating stock takes, investigating discrepancies and improving stock control processes.
  • Receiving deliveries, handling stock and supporting physical distribution across the resort.
  • Coordinating the daily activities of our Stores & Logistics Assistant, including receiving, deliveries and couriers.
  • Working closely with our Procurement team, suppliers and operational departments to resolve issues and identify more efficient ways of working.
  • You will have the opportunity to take real ownership of the Stores function while developing your purchasing, inventory and team coordination experience within a luxury hospitality environment.

What Does Your Working Day Look Like?

  • Review stock levels and prepare purchase orders.
  • Follow up with suppliers and coordinate deliveries.
  • Receive beverage and other stock deliveries into Stores.
  • Move, organise and distribute stock across the Resort.
  • Prepare and organise supplies for upcoming functions and events.
  • Manage purchasing and inventory administration to maintain accurate stock levels.
  • Support the smooth running of Stores, particularly during busy Monday and Friday periods.
  • Work closely with Commercial and Procurement colleagues on stock accuracy and supplier performance.
  • Help identify improvements to purchasing, inventory and Stores processes.

Success Profile

  • Previous experience in Stores, purchasing, inventory management, warehousing or logistics, ideally within hospitality, food and beverage or distribution.
  • Sound knowledge of stock control, purchasing and replenishment processes.
  • Strong organisational skills with excellent attention to detail.
  • Confidence using computer systems and purchasing or inventory software, with PurchasePlus or similar experience advantageous.
  • A practical, hands-on approach and the ability to safely handle cartons, beverage stock, kegs and other goods using appropriate equipment.
  • Ability to work independently, manage competing priorities and coordinate a small team.
  • Excellent communication skills with the ability to build positive relationships with colleagues, departments and suppliers.
  • A full New Zealand driver's licence is essential.
  • Forklift experience or certification is advantageous, although training can be provided.
  • Reliable, proactive and willing to get involved wherever needed.
  • Comfortable balancing detailed administrative work with the practical, hands-on requirements of a busy Stores operation.
