Exceptional planning. Confident communication. Calm under pressure.

Can you confidently manage a changing schedule, respond to new referrals and keep clients informed… all while balancing competing priorities?

We are looking for a highly organised, professional and customer-focused Service Coordinator to join our District Nursing team. Strong planning skills, sound judgement and good geographical knowledge of Canterbury are central to this role. You will need to think ahead, adapt quickly and communicate clearly with clients, whānau and colleagues. Experience within a healthcare or clinical environment is highly beneficial, as you will work with referral information and clinically prioritised waitlists, recognising when Registered Nurse input or escalation is required.

Te Mahi / About the Position

Working alongside Registered Nurse Coordinators and our nursing teams, you will help coordinate safe, timely and efficient patient care across Canterbury. Our schedules change throughout the day as referrals arrive, patient needs evolve and staffing availability shifts. You will need to confidently reassess priorities, adjust arrangements and ensure those affected receive clear, timely updates.

You will:

  • Plan and coordinate nursing visits, balancing clinical priority, staff skills and competencies, capacity, travel times and workload.
  • Apply your knowledge of Canterbury’s suburbs, towns, rural areas and travel distances to develop practical schedules and respond effectively to changes.
  • Make and receive regular phone calls to clients and whānau to arrange visits, explain schedule changes, answer queries and manage expectations with professionalism and empathy.
  • Deliver a consistently high standard of customer service, including during challenging conversations or when arrangements change at short notice.
  • Continually review schedules, anticipate gaps or service pressures and adapt plans as priorities change.
  • Support referral management and triage processes using agreed criteria, referring clinical questions and decisions to the appropriate Registered Nurse.
  • Monitor clinically prioritised waitlists, service queues and outstanding work.
  • Work closely with Registered Nurse Coordinators and nursing teams to resolve scheduling issues and support timely care.
  • Maintain accurate patient, scheduling and service information across electronic systems.

The team also supports our Specialty Clinics, including Diabetes, Stomal Therapy, Infusion, Continence and Wound Care.

Our services operate seven days a week, so flexibility to work rotating shifts, weekends and public holidays is essential.

He momo / About You

You will be an exceptional planner and confident communicator who brings a professional, approachable manner to every interaction. You will be comfortable making frequent phone calls, managing interruptions and taking ownership of an ever-changing workload.

Good geographical knowledge of Christchurch and the wider Canterbury region is particularly important. Understanding locations, travel distances and rural routes will help you create realistic schedules, allocate visits efficiently and respond quickly when plans change.

Ideally, you will bring experience from community nursing, primary care, hospital, outpatient or another clinically focused healthcare service, particularly where you have coordinated patient activity, referrals, waitlists or clinical workloads.

You will have:

  • At least two years’ experience in a coordination, administration, customer service, health or social services environment.
  • Excellent customer service skills, with a professional, reassuring telephone manner and the ability to communicate respectfully with people from a range of backgrounds.
  • Confidence contacting clients to discuss visit arrangements, communicate delays or changes, and respond sensitively to concerns.
  • Strong planning and prioritisation skills, with the ability to rework schedules throughout the day while maintaining accuracy and attention to detail.
  • Good geographical knowledge of Canterbury and an understanding of how travel times affect service delivery.
  • Clinical understanding, including familiarity with healthcare terminology, patient care pathways and service delivery.
  • The ability to interpret referral information, recognise changing priorities and identify when clinical input or escalation is required.
  • Confidence making operational decisions within the scope of your role and following through on agreed actions.
  • A practical, proactive approach to solving problems and working collaboratively.
  • Confidence using electronic patient management, scheduling and Microsoft 365 systems.

Above all, you will remain calm, adaptable and professional under pressure, understanding that every schedule change and client conversation contributes to safe, timely care and a positive experience for patients and whānau.
