Help keep our training team organised, compliant, and moving forward.

Are you organised, detail-focused, and keen to learn something new? Do you enjoy working with people, keeping things on track, and being part of a team that makes a real difference in our community?

Matapuna Driver Training is looking for a reliable and motivated Heavy Traffic Administration Coordinator to support our Heavy Traffic training team.

This is more than a general administration role. You will play an important part in ensuring our training programmes are well organised, learner records are accurate, and our assessment and compliance processes meet the requirements of relevant industry and education organisations.

Experience in heavy traffic administration, moderation, or vocational education would be an advantage, but it is not essential. We are willing to provide training and support to the right person. We are looking for someone with the right attitude, a willingness to learn, and a genuine commitment to working as part of a team.

About the role

You will work closely with our Heavy Traffic instructors and management team to coordinate the administration that supports our heavy vehicle and industry training programmes, including Class 2–5 licences, forklift, dangerous goods, and other industry-related training. An important part of this position is maintaining accurate documentation and supporting our quality assurance processes to meet applicable requirements set by NZQA, MITO, Connexis, and other relevant organisations. You will help ensure that learner information, course documentation, assessment evidence, and moderation activities are completed, recorded, and filed correctly and on time.

Key responsibilities

  • Maintain accurate learner files, enrolments, attendance records, assessment documentation, and course completion information

  • Coordinate moderation documentation, track submissions and outcomes, follow up on required actions, and maintain appropriate records

  • Assist with maintaining documentation and processes that meet applicable training, assessment, reporting, and quality assurance requirements

  • Support course scheduling, bookings, learner communications, and the preparation of training materials

  • Track outstanding assessments, evidence requirements, course progress, and qualification completions

  • Help prepare records and supporting evidence for internal reviews, moderation activities, and external audits

  • Work with instructors, learners, management, and relevant external organisations to ensure information is received and actions are completed

  • Identify gaps, raise concerns early, and contribute practical solutions to improve the way we work

  • Provide reliable administration support to the wider training team and assist with other reasonable duties as required

About you

  • Organised, reliable, and has excellent attention to detail

  • Can manage competing priorities and follow tasks through to completion

  • Has sound computer skills, including email, spreadsheets, document management, and digital filing

  • Communicates professionally and confidently with different people

  • Willing to learn compliance requirements, moderation processes, and industry-specific systems

  • Takes ownership of their responsibilities and understands the importance of accurate documentation

  • Comfortable asking questions, accepting feedback, and developing their skills

  • Works collaboratively, shares information, and supports colleagues

  • Understands the importance of confidentiality, professional conduct, and meeting deadlines

  • Experience in administration, education, transport, or industry training would be beneficial
