Personal Assistant – Sotheby’s Napier

Join a high-performing team behind one of the world’s most recognised luxury real estate brands.

New Zealand Sotheby’s International Realty Napier is looking for an exceptional Personal Assistant to join our team, supporting top-performing Sales Associates in a varied and rewarding part-time role.

This is not your average administration position.

You’ll be right at the heart of a busy real estate business, helping keep everything running seamlessly, supporting marketing and client communication, managing the details behind property campaigns, and ensuring your Sales Associates can perform at their very best.

The role is 20 hours per week across four days, with flexibility around both the days and hours for the right person.

If you’re highly organised, love getting things done, have an eye for detail and enjoy being one step ahead, we’d love to hear from you.

What you’ll be doing

  • Diary and schedule management

  • Maintaining and updating client databases

  • Social media coordination and content support

  • Client communications, mailouts and correspondence

  • Preparing property flyers, advertising material, brochures and marketing collateral

  • Formatting, editing and proofreading documentation

  • Assisting with property marketing campaigns

  • Preparing and coordinating some real estate documentation

  • Supporting your Sales Associates to operate efficiently and deliver an exceptional client experience

  • General administration and day-to-day problem solving

What we’re looking for

You don’t need to come from real estate, but you do need to be an outstanding administrator who enjoys working in a busy, professional environment.

You’ll ideally bring:

  • Strong administration or PA experience

  • Exceptional organisation and time-management skills

  • Excellent attention to detail and accuracy

  • The ability to prioritise competing demands and meet deadlines

  • Confidence using Word, Excel and Adobe and CRM systems

  • Strong written and verbal communication skills

  • Initiative and the ability to work independently

  • A calm, solutions-focused approach

  • Flexibility, adaptability and a genuine can-do attitude

  • A good sense of humour

Previous real estate experience would be an advantage, but it is not essential. Attitude, capability and fit with our team matter most.

Why Sotheby’s Napier?
