Description

This position does not own the School’s risks or direct how departments manage them; that accountability rests with each risk owner. The role’s purpose is to capture, organize and share risk information so that owners, leadership and the Board can act on it. The exception is the compliance work described below, where the Risk and Insurance Manager administers requirements the School has already set.

For the first four to six months, the focus will be the School’s enterprise risk management project, led by an outside consultant. During that period the Risk and Insurance Manager will:

  • Serve as the School’s working contact for the consultant, so that the person who will maintain the system helps build it.
  • Coordinate meetings, surveys and materials for data gathering with the Risk Management Committee, senior administrators, faculty and staff.
  • Help draft and stress-test the risk register and the recommended systems for keeping it current.
  • Help prepare the rollout to administrators, faculty and staff, and the presentation to the Board.

Once the project concludes, the role will likely include the following, refined to reflect the project’s recommendations:

  • Maintain the School’s risk register, keeping risk descriptions, ratings, owners and treatment plans current.
  • Track progress on treatment plans with the risk owners responsible for them, and flag items that have stalled.
  • Run the annual review cycle: prompt risk owners for updates, refresh ratings, and capture new and emerging risks.
  • Receive risks reported by faculty and staff, log them, and route them to the appropriate risk owner.
  • Support the Risk Management Committee: scheduling, materials, minutes and follow-up.
  • Prepare risk reporting for the CFOO, the committee and the Board, including summaries of the register and the status of treatment plans.
  • Administer access to the register on a need-to-know basis, so that risk owners see the risks in their own areas and the full register is available only to those the CFOO designates.
  • Use AI tools, including the School’s Microsoft Copilot, to keep the register and reporting efficient.

Risk and insurance administration

  • Maintain policy files, the schedule of values, and the calendar of renewal dates, premium installments and audit deadlines.
  • Serve as day-to-day contact with the insurance broker, escalating substantive matters to the CFOO.
  • Coordinate the annual renewal application: gather information from departments, check it for accuracy and completeness, and prepare the package for the CFOO’s review and signature.
  • Issue certificates of insurance for facility rentals, vendors and contractors, and collect and verify certificates provided by third parties.
  • Process claims across student accident, workers’ compensation and property, and assist families and employees through the process.
  • Receive, log and retain incident and accident reports, with appropriate confidentiality.
  • Ensure premium invoices are processed on time, including coverage billed monthly where a missed payment would prompt a notice of cancellation.

Compliance and screening

  • Administer driver authorization: issue and collect authorization forms, verify licenses, run motor vehicle reports, and maintain the approved and non-approved driver lists provided to the broker, facilities and security.
  • Administer background screening for volunteers, host families and other non-employees, with strict attention to privacy.
  • Maintain business licenses and other regulatory registrations for both campuses.
  • Maintain waiver, release and permission forms in coordination with the departments that own them.

Office of the CFOO

  • Occasionally serve as an in-person point of contact for the Office of the CFOO, greeting visitors and directing requests appropriately.

Additional Responsibilities: (Performed periodically, seasonally, or as assigned.)

  • Schedule meetings for the CFOO when asked, particularly those involving several participants inside and outside the School.
  • Prepare and distribute meeting materials, and take minutes where the board liaison does not.
  • Handle expense reporting, conference registration and travel arrangements for the CFOO.
  • Maintain business office files and forms.

Qualifications
  • Bachelor’s degree or equivalent, with administrative experience, ideally in an educational setting.
  • Five or more years of administrative experience; exposure to insurance, claims or compliance work is strongly preferred.
  • Interest in pursuing a professional risk or insurance designation.
  • California notary commission, or willingness to obtain one within six months.
  • A demonstrated record of absolute discretion with confidential information, including Social Security numbers, driving records, background check results and medical information.
  • The ability to work independently, anticipate rather than react, and keep long-running processes moving without prompting.
  • Comfort following up with senior colleagues on commitments they have made.
  • Proficiency with Microsoft and Google applications, Teams and Zoom, including comfort maintaining structured data in spreadsheets.

Preferred

  • Proficiency with AI tools such as Gemini, Microsoft Copilot, ChatGPT or Claude. Using AI to streamline recurring work is likely to be a regular part of this role.

The School will support the person in this role in earning a recognized risk or insurance credential (for example CRIS, AINS or ARM), and anticipates that the role may grow as the enterprise risk management program matures.

Physical Demands:

  • Ability to lift, push or pull at least 20 pounds.

Other Requirements:

Confidentiality is a core requirement of this position, not a preference. The Risk and Insurance Manager will routinely handle Social Security numbers, driving records, background check results, medical information, claims files, and a candid assessment of the School’s risks. Information is shared strictly on a need-to-know basis, both inside and outside the School, and this discretion is expected without exception and without being reminded.

  • Ability to shift between detailed compliance work and responsive support without losing track of either.
  • Strong written and verbal communication, and the judgment to know which requests are urgent and which merely sound it.
  • Interpersonal skill and relationship building across departments.
  • Attention to detail.
  • A sense of humor is helpful.
