About the Opportunity
Are you an exceptionally organised, commercially minded professional with experience in real estate and/or property development, who thrives on variety, takes ownership and knows how to get things done?

Our client is a very successful and fast growing residential property development business with a development pipeline exceeding $150 million. They have a talented, friendly, multi-cultural team who are passionate about what they do and enjoy being part of a successful, make it happen, and fast growing business. They're based in a modern office less than a kilometre south of Newmarket, on a regular bus route and within walking distance of Newmarket or Remuera train stations; and with a good wee café nearby!

They are seeking a capable and proactive Executive Coordinator to work closely with our Director and help keep our projects, people and business operations running smoothly.

This is much more than a traditional Executive Assistant or administration position.
You'll be at the centre of the action, coordinating activities across property developments, sales, marketing, consultants and key business stakeholders. You'll help turn plans into action, keep everyone accountable and ensure important deadlines and deliverables don't fall through the cracks.

We're specifically seeking someone who already understands the real estate and/or property development environment, ideally with exposure to residential property, and can bring that industry knowledge to a busy, commercially focused business.

If you enjoy being the person who brings structure, momentum and results to a busy business, this is an outstanding opportunity!

What You'll Be Doing

  • Executive & Business Support: Partner with the Director to manage priorities, communications, meetings, reporting and business initiatives.
  • Project Coordination: Maintain project timelines, track milestones, follow up consultants and contractors, and flag potential delays.
  • Sales & Marketing Coordination: Support property launches, marketing campaigns, sales collateral, CRM activities, sales reporting and contract tracking.
  • Stakeholder Management: Liaise confidently with sales agents, consultants, lawyers, marketing providers, contractors and other business partners.
  • Events & Launches: Coordinate project launches, investor presentations, sales meetings and stakeholder events.
  • Systems & Processes: Maintain accurate records, trackers and reporting systems, while identifying opportunities to improve efficiency and accountability.
You'll coordinate and drive activities rather than personally performing specialist property development, construction, legal or marketing functions.

What We're Looking For

Previous professional experience within the real estate and/or property development sector is essential for this position. Experience in residential property would be particularly advantageous.

Beyond this essential industry background, we're interested in candidates who bring:
  • Proven experience in executive support, business operations, office management or project coordination.
  • Outstanding organisational skills, attention to detail and the ability to juggle multiple competing priorities.
  • A proactive, solutions-focused approach with the confidence to follow up others and drive outcomes.
  • Very good communication and relationship-management skills, with a professional and personable manner.
  • Strong Microsoft Office skills and confidence using business systems, spreadsheets and reporting tools.
  • Sound commercial judgement, initiative and the ability to work independently.
  • Familiarity with property sector processes, terminology, stakeholders and commercial priorities.
Experience helping coordinate residential developments, property sales campaigns, consultants, contractors or development-related administration would be especially valuable.

Above all, we're looking for someone who takes ownership, anticipates what needs doing and follows through.

Why Join the Growing Company?
  • Real influence: Work closely with the Director and contribute to business priorities and decision-making.
  • Exciting projects: Gain exposure to a property development pipeline exceeding $150 million.
  • Variety and challenge: Enjoy a broad role spanning property development, business operations, sales and marketing.
  • Opportunity to grow: Develop your responsibilities and career alongside an  expanding business.
  • Make your mark: Help improve the systems, processes and coordination that support continued business growth.
