Project Coordinator

About the Role

We are seeking an organised and proactive Project Coordinator to join a busy and growing team. This position plays a critical role in ensuring projects are delivered smoothly from sales handover through to installation and completion.

Acting as the central point of coordination, you'll work closely with clients, schools, councils, subcontractors, suppliers, and internal teams to manage schedules, documentation, communications, and project progress. Strong communication skills are essential, as you'll be regularly liaising with a wide range of stakeholders to ensure projects remain on track and expectations are effectively managed.

This is an office-based role focused on coordination and administration rather than site management. You'll have the opportunity to take ownership of projects from start to finish while working on playgrounds and recreational spaces that make a positive impact on communities throughout New Zealand.

Why Join This Team?

✅ Own projects from contract award through to completion

✅ Build relationships with schools, councils, suppliers, and subcontractors across New Zealand

✅ Join a supportive team where communication, initiative, and problem-solving are highly valued

Key Responsibilities

Project Coordination & Planning

  • Review project handovers and confirm scope, timelines, site requirements, and key contacts.
  • Create and maintain project schedules, milestones, trackers, and action plans.
  • Identify risks, dependencies, missing information, and potential delays before they impact project delivery.
  • Maintain accurate project records and documentation throughout the project lifecycle.
  • Take ownership of project progress and proactively drive outcomes.

Scheduling & Logistics

  • Coordinate installer and subcontractor schedules.
  • Organise freight, deliveries, and equipment dispatch.
  • Manage timelines for installation, surfacing, remedial works, and project close-out.
  • Ensure site readiness and access requirements are confirmed before commencement.
  • Track materials and project requirements from warehouse through to installation.

Client & Stakeholder Communication

  • Provide regular project updates to clients and stakeholders.
  • Serve as a key point of contact for schools, councils, suppliers, subcontractors, and internal stakeholders.
  • Coordinate communication between internal departments, suppliers, installers, and contractors to ensure projects remain on track.
  • Build and maintain strong stakeholder relationships through proactive and professional communication.
  • Respond promptly to enquiries and resolve issues in a solutions-focused manner.
  • Escalate technical, commercial, or contractual matters when required.

Documentation & Administration

  • Prepare installation packs, technical documentation, and project records.
  • Maintain schedules, spreadsheets, correspondence, and project files.
  • Support health and safety compliance by coordinating project-specific documentation.
  • Track project variations, outstanding items, and completion requirements.

Skills & Experience

We're looking for someone who brings:

  • Previous experience in project coordination, construction administration, logistics, scheduling, or a similar role.
  • Strong organisational skills with the ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills.
  • Advanced Microsoft Excel skills and confidence using Outlook and other business systems.
  • Strong attention to detail and problem-solving abilities.
  • A proactive approach with the ability to think ahead and identify potential issues before they arise.
  • Experience within construction, installation, manufacturing, or trades environments is advantageous.
  • CAD or Vectorworks experience is desirable but not essential, as training can be provided.
  • Exceptional verbal and written communication skills, with the ability to confidently engage with schools, councils, subcontractors, suppliers, and internal stakeholders.
  • Strong relationship-building skills and the ability to adapt communication styles to suit different audiences.

What's on Offer?

✅ Supportive and collaborative team environment
✅ Diverse role with plenty of variety
✅ Opportunity to work across multiple projects throughout New Zealand
✅ Learn all aspects of project delivery and coordination
