My client is adding a new role to their business following an internal promotion and is looking for someone who can help keep their sales and administration processes running smoothly.

They operate three businesses, and you’ll be joining a small office team supporting a wider operation out on the road. It’s a varied, hands-on role where you’ll work closely with customers, Sales and Operations, helping manage the process from the initial enquiry through to job completion and invoicing.

Their businesses operate across various trades, including installation, construction, roofing, plumbing and building, so experience in a similar environment would be a real advantage.

Hours: Monday to Friday, 8.00 am – 4.30 pm

About the role

We are looking for someone who is organised, confident on the phone, comfortable with systems and numbers, and able to take ownership of the day-to-day administration.

The role will include:

  • Managing customer enquiries, qualifying leads and coordinating follow-ups

  • Booking site appointments

  • Maintaining accurate customer, sales and job records across their systems

  • Following up on enquiries, quotes and unconfirmed work

  • Processing accepted quotes, requesting deposits and preparing jobs for handover to Operations

  • Coordinating communication between Customers, Sales and Operations

  • Preparing and processing customer invoices in Xero

  • Back-costing completed jobs, reviewing labour, materials and subcontractor costs, and flagging discrepancies

  • Completing job closeout administration and providing general sales support

About you

You’ll be comfortable working with customer accounts, invoicing and financial information in Xero.

Ideally, you’ll have:

  • At least two years’ office administration experience, ideally with exposure to Xero, customer invoicing and basic job costing or back-costing

  • Strong organisational skills and a methodical, detail-focused approach

  • Confidence communicating with customers over the phone and by email

  • Good computer skills, accurate data entry and confidence working with numbers

  • A proactive approach to follow-ups and the ability to manage multiple enquiries and jobs at different stages

  • The ability to communicate well and work collaboratively with Sales, Estimating and Operations

What makes this role different?

This is an opportunity to join a growing business where change is welcomed, your ideas are valued, and you can take real ownership of your role. You’ll be involved in the full customer journey, making sure the details are taken care of, and everything runs smoothly behind the scenes.

The team is down-to-earth, the banter is good, and parking is easy,  a great environment for someone who enjoys being part of a close-knit team while getting on with the job.
